Buy Here Pay Here

Your notes belong in the same system as your deals.

When you carry the paper, the loan is the business. DealersCloud services it where the deal was written - schedules, payments, promises, payoffs and repossessions - and posts every dollar to the same books the rest of the store runs on.

Why this matters

A note portfolio run in a second system is a second set of numbers.

Plenty of Buy Here Pay Here stores write the deal in one place, service the loan in another, and reconcile the two at month end. Every handoff is a chance for a payment to land against the wrong account, for a repossessed unit to sit outside inventory, or for the gross on a deal to stop matching the cash that came in against it.

Keeping the note with the deal removes the handoff. The schedule is built from the deal that created it, the payments post to the same ledger as everything else, and the vehicle that comes back is the vehicle you already have a record for.

What servicing a note looks like here.

The loan is built when the deal is, not re-keyed after it

A Buy Here Pay Here deal written on the desk becomes a live account the moment it is delivered. The schedule carries a numbered payment, a due date and an amount, and each installment already knows how much of it is principal, how much is interest, and how much is sales tax.

  • Payment schedule generated from the deal, not entered twice
  • Principal, interest and sales tax split on every installment
  • Payment extensions recorded against the original schedule

Take the payment, and let it post itself

When a customer pays, the installment, any late fee and any check fee go in once. The system applies the money across principal, interest and sales tax, and the entry can be held for a manager to approve before it counts.

  • Late fee and check fee captured with the payment
  • Amounts applied to principal, interest and sales tax automatically
  • Approval step with the approver and the approval date on the record

Know who owes you today, and who promised what

The account list is a working queue, not a report you run at month end. Current due and past due are their own views, and when a customer says they will pay Friday, that promise is recorded against the account with who took it and whether it was kept.

  • Separate current-due and past-due queues
  • Promise-to-pay logged with the date, the note and the person who took it
  • Promises marked kept or broken, so the pattern is visible

Payoffs, and the accounts that do not make it

Quote a payoff and take it in the same place you take a regular payment. When an account goes bad, a write-off is a recorded action rather than a spreadsheet note - and a repossession sends the unit back into inventory with its mileage, so the car you get back is a car you can sell.

  • Payoff quoted and processed on the account
  • Write-off recorded against the account, with the balance rebuilt
  • Repossession returns the vehicle to inventory with its mileage captured

The portfolio, and the books, in the same system

Every payment is a transaction in the same accounting the rest of the store runs on, so the note portfolio is not a second set of numbers to reconcile. Account snapshots and portfolio reporting read the live balances.

  • Payments post to the same ledger as the rest of the dealership
  • Per-account snapshot and portfolio reporting
  • Per-loan insurance tracked on the account

The rest of the store

The note is one module of one platform.

Inventory, the CRM, desking and F&I, accounting and reporting, and your dealer website all run on the same record. So does DealersAI, which answers leads by email, text and web chat and picks up the phone when nobody is at a desk - useful on a BHPH lot, where a missed call is often a missed payment conversation.

Questions

What BHPH dealers ask.

Does DealersCloud handle in-house financing, or just the sale?
Both. A Buy Here Pay Here deal becomes a live account with its own payment schedule when it is delivered. You take payments against it, quote payoffs, record promises to pay, and work current-due and past-due queues from inside the same system that wrote the deal.
How are payments applied?
Each installment carries its own split of principal, interest and sales tax, and a payment is applied across those automatically. Late fees and check fees are captured with the payment, and a payment can require manager approval before it counts.
What happens when I repossess a vehicle?
The account is written off as a repossession and the vehicle returns to your inventory with its mileage recorded, so it can be reconditioned and re-listed without being re-entered as a new unit.
Do BHPH payments flow into my accounting?
Yes. Payments post as transactions in the same accounting the rest of the dealership runs on, so your note portfolio is not a separate set of numbers to reconcile at month end.
Can I keep my current DMS and still use the AI?
Yes. DealersAI is built into the DealersCloud platform and is also available on its own, so you can keep the DMS, website and phone number you already use. Moving to the full platform later is an upgrade, not a migration.

See it run against a real note.

A specialist will walk your portfolio through it - schedules, the due queues, and what happens when an account goes bad.
