There is no single best Buy Here Pay Here software, because a BHPH store is buying two products at once: a dealer management system for selling cars, and a loan servicing system for collecting on them afterwards. The seven systems below all publish in-house financing capability on their own sites, and they differ mainly in two things - how the bill is shaped (flat subscription, per-module, or quoted to your store) and whether servicing the note sits in the base product or is a module you add. Choose on those two, plus the handful of servicing features you will touch every Monday morning, rather than on a feature count.

The schedule is built from the deal rather than re-keyed, and every installment carries its own split of principal, interest and sales tax. A payment goes in once - installment, late fee, check fee - and is applied across the three automatically, with an approval step recording who approved it and when. Current due and past due are separate working queues rather than a month-end report, and a promise to pay is logged with the date, the note and who took it, then marked kept or broken. Payoffs are quoted and taken on the account, a write-off is a recorded action, and a repossession returns the unit to inventory with its mileage. Every payment posts to the same accounting the rest of the store runs on.

The pricing is the thing to understand before you shortlist it. DealerCenter publishes per-module monthly subscriptions - the DMS, the CRM, accounting, Buy Here Pay Here and a website each carry their own figure - alongside charges billed per transaction, and it states that "DealerCenter Products Include Unlimited Users, Free Training, and Support" (dealercenter.com/pricing, checked 2026-09-09). BHPH is one of those separately priced modules.

Frazer
Frazer has been in this market since 1985 (frazer.com, checked 2026-09-09) and prices the desktop product as a single flat published subscription, also offered quarterly and annually, with a hosted option at a higher published rate (frazer.com/frazer-pricing, checked 2026-09-09). The same page lists Inventory Management, Sales Processing, Forms Printing, Buy Here Pay Here and a Full Accounting Suite as included in the base price, and states there are no setup costs or hidden fees (frazer.com/frazer-pricing, checked 2026-09-09).
The servicing detail is on the home page. Frazer's Buy Here Pay Here section says the system will "Manage payments, collections, customer contact, repairs and more", describes "Automated Credit & Debit Transactions" with integrations to FrazerPay and PayMyCar so customers can pay online, lists "GPS / Starter Interrupt Integrations" to "help keep track of vehicles", and describes automatically syncing payments for Collateral Protection Insurance and other recurring fees (frazer.com, checked 2026-09-09).

AutoManager (DeskManager)
AutoManager sells three products with their own prices - the DeskManager DMS, a website and marketing product, and an automotive CRM with text marketing - plus a bundle that combines the DMS and the website (automanager.com/pricing, checked 2026-09-09).
Buy Here Pay Here appears inside the DeskManager tier on that pricing page, written as "Buy Here Pay Here (BHPH)+". The plus sign is the page's own marker: AutoManager marks a number of listed features with it, and the page's legend gives it as "Optional Module" (automanager.com/pricing, checked 2026-09-09). If you are pricing this option, that marker is the condition to carry into the conversation - ask whether the BHPH module is inside the tier you are quoted or priced separately, and ask the same about anything else on the list wearing a plus.

DealerClick publishes a dedicated Buy Here Pay Here page built around what it calls a "Portfolio Management System", described as an "advanced loan management system designed for BHPH dealerships". The page says the software will "Automate loan calculations, payment scheduling, and balance tracking", describes "Efficient Collections and Repossessions" that let a store "track overdue payments, initiate collections, and manage repossessions efficiently", and describes "Robust Payment Processing" that supports multiple payment options and integrates payments directly into financial records (dealerclick.com, checked 2026-09-09).
On the payments side specifically, the home page states that "Online and recurring payment functionality comes as standard through Global Payments", and describes the product as a single-entry DMS available "for one low price" (dealerclick.com, checked 2026-09-09). No figure is published alongside that: pricing here comes from a demo or a call, so treat it as quote-based and get the number in writing early.
Who it fits: a store that wants in-house financing, online and recurring payments, and a single-entry system where the sale and the note are entered once - and that does not mind asking for a price rather than reading one.
FEX DMS (Finance Express)
FEX DMS is the entry on this list most clearly built around the note rather than the sale. Its Buy Here Pay Here page describes tracking "multiple loan receivables including side note creation", a "Powerful, customizable collections queue" that lets a store "tailor your collection efforts", "Notes and promise-to-pay tracking", "Advanced reporting and collector statistics", and "Automated nightly letter generation (past due notices, insurance expiration notices, etc.)" (financeexpress.com, checked 2026-09-09).
The same page lists the integrations a note-heavy store tends to ask about: the "FEX Electronic Payment System (EPS)" to "accept online ACH/Credit Card payments", "Payment Protection Systems / GPS Integration", and reporting credit data to Equifax and TransUnion (financeexpress.com, checked 2026-09-09). On pricing, the company states that FEX DMS is "Priced based on size of dealership" and "does not demand a long term contract and all agreements are month-to-month" (financeexpress.com, checked 2026-09-09).
Who it fits: a store whose portfolio is the business, where the collections queue and the nightly letter run matter more than the showroom workflow, and where a month-to-month agreement is worth more than a locked-in rate.
Dealer-Mate
Dealer-Mate publishes a Buy Here Pay Here page describing a "comprehensive in-house financing system" with "Custom payment schedules and terms" and "Payment history tracking", aimed at improving collection performance. The same page says a store can "Screen credit with Experian, TransUnion and Equifax" and that credit can also be reported, and it mentions QuickBooks integration, NSF transaction management, unwinding deals and tracking post-sales expenses (dealer-mate.com, checked 2026-09-09). The home page describes the module as covering BHPH, lease-here-pay-here and rent-to-own, with "Recurring and Online Payments" and "Payment Reminders" (dealer-mate.com, checked 2026-09-09).
The pricing page sells a cloud DMS as a monthly subscription with quarterly and annual options at a discount, a desktop application on its own monthly rate, and a one-time fee for a local-area-network install. Buy Here Pay Here is listed under "Extra Modules" and carries "Call for Quote" (dealer-mate.com/pricing, checked 2026-09-09).
Who it fits: a smaller store that wants a low-commitment way in, has more than one financing model to support, and is content to have the BHPH module quoted separately.
How to choose
Feature lists all look the same on a Tuesday afternoon. What separates these systems is what happens when money moves, so make the demo do exactly that. Bring one real deal, one real delinquent account, and this list.
Book a payment and follow it. Take a normal installment on a live account and ask to see where it landed: how much went to principal, how much to interest, how much to sales tax, the new balance, and which entry appeared in the accounting. If nobody can show you the accounting side in the same session, that tells you how separate the two halves are.
Take a partial payment. Real customers pay part of what they owe. Ask what the system does with it, what happens to the due date, whether a late fee is assessed and on what rule, and whether a manager can waive that fee with the waiver recorded against the account.
Run a delinquency report, then work from it. Ask for today's past-due list, then call one account off it inside the demo. The test is not whether the report exists; it is whether the list is a working queue you can act from, or a PDF you print and take to a whiteboard.
Record a promise to pay and come back to it. Log an arrangement for Friday, then ask to see it a minute later: who took it, what was agreed, and how the system shows kept against broken. An arrangement that lives in a text thread on one person's phone is the most common way a BHPH file goes wrong.
Print the state contract set from that deal. Not a sample - your forms, for your state, with the numbers from the deal on the screen. Check that the figures on the retail installment contract match the schedule the system just built. Truth-in-lending style disclosures, state-specific forms and the collections record are the things you may have to produce later, and they have to agree with each other.
Repossess the unit and follow the vehicle. Ask what happens to the account, whether the write-off is a recorded action or a note somewhere, and whether the car returns to inventory as a unit you can recondition and re-list without re-entering it.
Ask every vendor two more things, including the one you are already with: what the bill looks like at your real volume once every module you would turn on is priced, and what happens to your data if you leave - format, timing, cost, how long after termination.
