Accounting & Reports

Dealership accounting that posts from the deal.

Dealership accounting in DealersCloud is the Accounting & Reports module of the all-in-one dealer management platform built for independent car dealers. It tracks front and back gross, payables and receivables, and 60+ real-time metrics with automated profit and loss reporting. Because it runs in the same system as inventory and desking, the deal that gets written is the deal that gets posted, without re-keying it into a second program.

What it does

The books and the numbers, in the same system as the deals.

Front and back gross, from the deal as it was written

Accounting tracks both halves of what a car makes: the front gross on the vehicle and the back gross from the finance office. Desking and F&I run in the same platform, so both figures come from the deals your team desks.

  • Front and back gross tracking
  • Profit tracking from the same deals your team desks

Payables and receivables in the same system as the deals

What the store owes and what it is owed are kept in the same system as the inventory and the deals. The deal, the vehicle and the books read from the same data, so a floor plan payable sits on its vehicle rather than in a spreadsheet that someone has to match back to a stock number.

  • Payables and receivables in the platform

60+ real-time metrics and automated profit and loss

Reports cover 60+ real-time metrics with profit tracking, on dashboards that track the KPIs the store runs on. Profit and loss reporting is automated.

  • 60+ real-time metrics with profit tracking
  • Real-time dashboards and KPI tracking
  • Compliance reports

Floor plan payoffs land in the same books

When you run floor plan management in DealersCloud, each payoff posts as a transaction in the same accounting the rest of the dealership runs on, so the cost of holding a car and the gross on selling it sit in one system instead of being kept in agreement between two.

  • Payoffs post to the dealership ledger, not a side system

Buy Here Pay Here payments post to the same accounting

When you run the Buy Here Pay Here module, every customer payment is a transaction in the same accounting as the rest of the store, so the note portfolio is not a second set of numbers to bring into line at the end of the month.

  • Payments post to the same ledger as the rest of the dealership

The reports view

Units, gross and days to sell, in one reports view.

The window shows the reports view with demo data: units sold this month, average front gross, average back gross, average days to sell, and gross by week.

How it works in a store

One car, from the floor plan line to the profit and loss.

A store buys a car at auction and floors it. In DealersCloud the floor plan payable sits on that vehicle - the provider that financed it, the floor date and the amount due - so the car and the note are one record from the first day, not a unit in one system and a row in a spreadsheet.

A salesperson desks the deal: payments, the trade, the credit application and F&I products on one worksheet, then the sales forms print. That deal is what reaches the books. Nothing is re-keyed, so the front gross on the car and the back gross from the finance office show up on the dashboard in real time.

When the unit sells, the floor plan payoff is a transaction in the same accounting, so the cost of holding the car and the gross on selling it sit side by side. If the store carries the paper on the Buy Here Pay Here module, each customer payment posts to the same accounting too, already split across principal, interest and sales tax.

The owner reads the store's numbers in the reports: 60+ real-time metrics, automated profit and loss, and the KPIs on the dashboard, drawn from the deals the team actually desked.

Connected to the rest of the platform

The modules connected to the books.

  • Deal desking and F&I →

Where the deal that reaches the books is written: payments, trades, credit applications and F&I products on one worksheet, with the sales forms printed from it.

  • Floor plan and curtailment management →

Per-unit floor plan payables with the provider, floor date and amount due, curtailments as their own list with their own payment history, and payoffs posted to the same dealership ledger.

  • Buy Here Pay Here software →

In-house financing serviced where the deal was written, with every payment posted to the same books the rest of the store runs on.

  • Used-car inventory management →

One record per vehicle carries the VIN decode, the photos, the price and the feeds - the same record a floor plan payable is attached to.

Questions

What dealers ask about dealership accounting.

Is accounting included in DealersCloud?
Yes. Accounting & Financial Reports is part of what every DealersCloud quote covers, along with the CRM, inventory management, deal desking and F&I, and unlimited users. Pricing is a custom quote for your dealership: a flat monthly subscription with no per-seat licenses.
Do I have to re-enter deals into separate accounting software?
No. Desking, F&I and accounting run in the same system, so a deal reaches the books without being re-keyed into a second program, and its front and back gross reach the dashboard in real time.
Does it track front and back gross?
Yes. Front gross is the profit on the vehicle itself; back gross is what the finance office adds with F&I products and the dealer reserve on the finance contract. DealersCloud tracks both from the same deals your team desks and shows them on real-time dashboards.
How are floor plan payables handled?
Each floored unit carries its payable on the vehicle record: the provider that financed it, the floor date and the amount due. Curtailments are their own payable with their own payment history, and a payoff - for one unit or several in one transaction - posts to the same dealership ledger as the rest of the store.
What reports does it include?
Accounting & Financial Reports is included with every plan: 60+ real-time metrics with profit tracking and compliance reports, automated profit and loss reporting, and real-time dashboards with KPI tracking.
